# Automations

See and control everything a site does on its own: auto-publishing, rules, and playbooks.

{% embed url="<https://youtu.be/JCW-hx8kzNw>" %}

To get started, click **Automations** in the left sidebar and pick a site.

{% hint style="warning" %}
Only workspace admins and owners can change Automation settings.
{% endhint %}

## Auto-Publishing

Nothing publishes on its own until you turn it on. Here's how:

{% stepper %}
{% step %}

#### Turn on auto-publishing

Click **Publishing settings** and turn on auto-publishing for the site.
{% endstep %}

{% step %}

#### Turn on a content type

On the **Publishing** tab, open a content type, turn it on, and choose **Require your approval**.
{% endstep %}

{% step %}

#### Approve incoming drafts

Approve drafts as they come in. After **5** approvals at **90%+** in **30 days**, Frase suggests **Publish without review**. You can pick it sooner or avoid it entirely if you'd like and just use auto-drafting.
{% endstep %}

{% step %}

#### Publish without review

When you're ready, pick **Publish without review**, choose when Frase should stop, and confirm.
{% endstep %}
{% endstepper %}

{% hint style="success" %}
Drafts publish to your [connected CMS](/integrations/cms-publishing/frase-cms.md). Only new drafts publish on their own. Drafts already waiting stay in review.
{% endhint %}

### Edit Settings

Click **Publishing settings** for site-wide controls:

* **Auto-publishing:** pause or resume the whole site.
* **Publish when you approve:** approving a draft also publishes it.
* **Byline:** default author.
* **Allowance:** your monthly limit. Automation pauses when it runs out.

If drafts start getting rejected, Frase stops publishing that type and asks you again. Pick how soon:

* **Stop at the first rejection**
* **Balanced (recommended):** under 80% approval across your last 20 drafts.
* **Give it room:** only if rejections outnumber approvals.

{% hint style="danger" %}
**Need to unpublish something?** Open **Runs** and click **Roll back** on the article.
{% endhint %}

## Rules

Rules check content before any publish to make sure they're ready to go live and meet your requirements.&#x20;

* **Error:** blocks the publish.
* **Warning:** asks you to confirm with **Publish Anyway**. On auto-publish, it holds the draft for review.
* **Info:** leaves a note on the draft.

To add rules, click **Add automation → Rule set**.

{% hint style="success" %}
In Claude with [Frase MCP](https://claude.ai/customize/connectors/directory/frase) connected, try *"Add a rule that blocks publishing when a page has no meta description,"* or ask the [Frase Agent](/automations/meet-the-frase-agent.md) which rules to start with.
{% endhint %}

## Playbooks

Each playbook runs its steps in order and stops when it needs you.

<figure><img src="https://2279611032-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F1qovufZAMEOFfdX3BMUE%2Fuploads%2FmbwEBycsTMDg1HEVkq4I%2Fimage.png?alt=media&amp;token=8b4b05bd-1d01-45f9-b440-5b495c4da4f6" alt=""><figcaption></figcaption></figure>

| Playbook               | What it does                                                            |
| ---------------------- | ----------------------------------------------------------------------- |
| **SEO Blog Post** | Researches, writes a brief for your OK, drafts, then checks your rules. |
| **Product Page** | Writes a brief, drafts, creates images, then waits for your OK. |
| **Quick Update** | Rewrites an existing page for search, then checks your rules. |
| **Comparison Article** | Researches the options, writes a brief, drafts, then waits for your OK. |
| **Listicle** | Researches, writes a brief for your OK, drafts, then creates images. |

### Run a Playbook

{% stepper %}
{% step %}

#### Start new content

Go to **Plan & Create → Content** and click **New Content**.
{% endstep %}

{% step %}

#### Pick a playbook

Under **Content Playbooks**, pick one or click **+ more playbooks**.
{% endstep %}

{% step %}

#### Add your topic or page

Enter a topic. For **Quick Update**, pick the page instead.
{% endstep %}

{% step %}

#### Click Run Playbook

{% endstep %}
{% endstepper %}

{% hint style="info" %}
You need Editor access to run a playbook.
{% endhint %}

## Check Your Runs

Open **Automations → Runs** and filter by **Running**, **Paused**, **Completed**, or **Failed**. Click **Retry** on a failed run to pick up where it stopped.

{% hint style="success" %}
Admins can build their own through **Automations → Add automation → Playbook**.
{% endhint %}

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.frase.io/automations/automations.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
